Responsible Use of AI at Artisan Furniture

At Artisan Furniture, we see artificial intelligence not as a replacement for people, but as an enabler of better business relationships. Our proprietary AI system — Flo — supports our resellers and business partners across the UK, European Union, United States, Canada, Australia, and India. Flo is designed to work seamlessly across both chat support and outbound phone calls, helping us maintain consistent communication, faster responses, and smoother onboarding while maintaining high ethical and compliance standards.

How We Use AI

  • Business Communication: Flo contacts registered business partners with reminders, onboarding guidance, product updates, and service-related notifications.
  • Operational Support: Flo is embedded within our ERP and data-syncing tools, providing real-time assistance to resellers integrating our catalogue with their platforms.
  • Efficiency & Scale: By automating repetitive tasks — such as follow-up calls, onboarding steps, and frequently asked questions — Flo allows our human teams to focus on complex, relationship-driven activities.
  • Boundaries: Flo’s role is strictly informational and supportive. It does not process payments, make contractual decisions, or engage in activities that could create legal or financial obligations.

B2B-Only Focus

Artisan Furniture operates strictly as a B2B enterprise, supplying professional resellers, distributors, and trade buyers.

  • Our use of AI is confined to business-to-business communications.
  • Consumer protection and telemarketing laws aimed at retail customers are not applicable to our activities.
  • All outreach conducted by Flo is targeted exclusively at businesses who have voluntarily registered with us and entered into a commercial relationship.
  • This distinction ensures that while we remain aligned with international compliance best practices, our AI usage is not governed by consumer-facing obligations.

Governance, Oversight & Ethics

  • Human Oversight: Flo is closely monitored and supported by our team. If needed, every interaction can be escalated to a human colleague without delay.
  • Transparency: When businesses interact with Flo, whether via chat or phone, it is made clear that they are engaging with an AI system developed by Artisan Furniture.
  • Responsible Programming: Flo’s responses are carefully scripted and reviewed to ensure accuracy, fairness, and professionalism. Bias checks and content audits are regularly conducted to safeguard quality.
  • No High-Risk Activities: Flo does not engage in credit scoring, discretionary pricing, legal advice, or decision-making that could fall under the scope of the EU AI Act’s “high-risk systems.” Its role is advisory and facilitative.

Privacy & Data Protection

We recognise that even in B2B relationships, data security matters. Flo operates within strict boundaries:

  • Contact information is used only for legitimate business purposes.
  • All data is safeguarded in line with applicable laws across the UK, EU, US, Canada, Australia, and India.
  • Sensitive or personal data is not processed by Flo beyond what is necessary for business communications.

For a detailed explanation of how we manage business partner data, please see our Privacy Policy at the bottom of the website.

Our Commitment

By declaring and governing the use of AI within our business, Artisan Furniture ensures that:

  • Communication with resellers remains clear, transparent, and responsible.
  • Ethical standards are met and aligned with global best practices such as the OECD AI Principles.
  • We are proactively preparing for future legal frameworks such as the EU AI Act, even though our usage is B2B and low-risk.
  • The distinction between consumer law and B2B law is respected, ensuring our partners can trust that our AI operations are fully compliant with the relevant frameworks.
